UAN Activation for First Job: Aadhaar, KYC, Passbook & PF Errors

First Job PF Setup Guide
UAN Activation for First Job: Aadhaar, KYC, Passbook & Common PF Errors

If PF is being deducted from your first salary, do not stop after seeing “EPF” on the payslip. You should know your UAN, activate it through the current EPFO process, check Aadhaar and KYC details, and later verify that the contribution is appearing in your EPF passbook. Doing this early can save you from name mismatch, duplicate UAN and claim problems when you change jobs.

Your PF Identity UAN One Universal Account Number can connect your EPF memberships across jobs.
Checkpoint 1 Find UAN
Checkpoint 2 Activate
Checkpoint 3 Verify KYC
Checkpoint 4 Check Passbook
Checkpoint 5 Fix Errors
Current EPFO process checked on 12 September 2026. UAN activation through the old Member Portal activation facility has been discontinued. Existing UAN activation and new UAN allotment/activation are now available through the UMANG app using Aadhaar-based Face Authentication.
01

What Is UAN and Why Should a Fresher Care?

UAN Activation for First Job: Aadhaar, KYC, Passbook & PF Errors
Quick answer: UAN means Universal Account Number. It is your long-term EPFO identity. When you change employers, you normally continue with the same UAN while a new PF Member ID can be linked to it. That is why a fresher should not create a fresh UAN every time a company changes.

Your first company may ask for Aadhaar and other details during onboarding because EPFO registration has to match your identity correctly. If you are entering formal employment for the first time, a new UAN may need to be allotted. If you already worked somewhere where EPF was created, you may already have a UAN even if you never actively used it.

UAN Your main EPFO identity This is meant to continue across eligible employments instead of changing with every company.
Member ID Employment-linked PF account Different EPF-covered employers can create separate Member IDs under the same UAN.
Passbook Your contribution record It helps you check the EPF entries connected with the Member IDs under your UAN.
Do not generate another UAN just because you changed jobs. EPFO's UAN guidance says UAN activation is required only once. When changing jobs, share the existing UAN with the new employer where applicable.
02

First Check: Do You Already Have a UAN?

Before generating anything, check your onboarding documents, payslip, HR portal or EPFO records. Sometimes a fresher says “I do not have a UAN” when the employer has already created or linked one.

01
Check salary slip Some employers display the UAN or PF details on the payslip.
02
Check HRMS or joining portal Look in payroll, statutory-benefit or employee-profile sections.
03
Ask payroll or HR Ask whether a UAN already exists for you instead of requesting another one.
04
Use official EPFO services The Member Portal provides a “Know Your UAN” facility for members.

If you have worked before, even for a short period, mention that to your new employer. Creating multiple UANs unnecessarily can make future transfer and service-history management more complicated.

03

How to Activate UAN in the Current EPFO System

This is the biggest change freshers should know. Older articles may still tell you to open the EPFO Member Portal and use the old “Activate UAN” web form. EPFO's current Member Portal says that facility has been discontinued.

Current Activation Route: UMANG + Aadhaar Face Authentication

Keep your Aadhaar-linked mobile available. You will also need the Aadhaar Face RD app for the face-authentication step.

1 Open UMANG Install or open the official UMANG app.
2 Choose EPFO Open UAN Services Through Face Auth.
3 Select UAN Activation Use the service for an existing UAN.
4 Verify Aadhaar Complete OTP validation through your Aadhaar-linked mobile.
5 Face Authenticate Complete the Aadhaar Face RD scan as instructed.
No UAN yet? UMANG also provides a “UAN Allotment and Activation” service. Under the current Face Authentication process, Aadhaar data can be validated and a UAN can be generated and activated through the same digital flow when eligibility and validation conditions are satisfied.
04

What Should You Keep Ready for UAN Activation?

A
Correct Aadhaar number Your Aadhaar identity is used in the current face-authentication process.
M
Aadhaar-linked mobile OTP is sent to the mobile number linked with Aadhaar.
F
Aadhaar Face RD app The face scan uses UIDAI's face-authentication setup.
U
Your existing UAN If a UAN has already been allotted, use that rather than trying to create another.
Aadhaar details must belong to you. Do not use somebody else's mobile, Aadhaar or face authentication to complete your own EPFO setup. Identity mismatches create bigger problems later.
05

What Is KYC in Your EPFO Account?

KYC means Know Your Customer. In EPFO, KYC helps connect identity and payment-related information with your UAN. For a fresher, the most important records to understand are Aadhaar, bank details and PAN where applicable.

Identity Aadhaar Name and identity details should correctly match your EPFO record. Aadhaar validation is also central to the current UAN activation process.
Payment Bank Account Seed an active account that belongs to you and check account number and IFSC carefully before saving.
Tax Identity PAN PAN details may be relevant for tax and EPFO transactions. Ensure your PAN name and identity information are correct.

EPFO's KYC guidance explains that members can log in to the Unified Member Portal, open Manage → KYC, enter the required details and save them. Some KYC records can go through employer or system verification before showing as approved or verified.

Pending The detail has been submitted but has not completed the required approval or verification stage.
Approved / Verified The KYC detail has successfully completed the relevant validation process.
Rejected / Mismatch Check name, number, IFSC or other identity details before trying again.
06

How to Add Bank Account in EPFO KYC

Enter the bank account you actually control. EPFO's KYC FAQ advises using an active account where you are either the individual account holder or an eligible joint holder with your spouse.

  1. Log in to the official EPFO Unified Member Portal.
  2. Open the Manage section.
  3. Select KYC.
  4. Choose the bank-account option.
  5. Enter the account number and IFSC carefully.
  6. Review the entered details before saving.
  7. Check the KYC status later for approval or verification.
Do not guess the IFSC. Take the account number and IFSC from your banking app, passbook, cheque or official bank record. One wrong digit can create avoidable claim problems.

EPFO also states that a seeded bank account can be updated, but bank details cannot normally be changed while an EPFO claim is pending.

07

How to Check Your EPF Passbook After the First Salary

Your salary slip and EPF passbook answer two different questions. The payslip tells you what payroll deducted. The passbook helps you check what contribution entries have been posted to your EPFO account.

Example Passbook View Illustration only
Wage Month Employee Share Employer Share Pension Share Status
Sample Month ₹1,800* Illustrative Illustrative Posted

Do not panic if your contribution is not visible immediately on salary day. The employer first has to complete the relevant payroll and EPFO contribution filing process, and the entry must then be posted in EPFO records.

Use the official EPFO Member Passbook service rather than entering your UAN password into random balance-check websites.

EPFO also provides balance enquiry options. The official passbook portal currently lists a missed-call facility and EPFOHO UAN SMS service. Check the current EPFO portal for the latest numbers and availability before using them.
08

Match Your First Payslip With the PF Record

Step 01 Check the payslip Find employee PF or EPF deduction for the salary month.
Step 02 Wait for posting Do not expect the EPFO passbook to behave like an instant bank transaction.
Step 03 Check the passbook Confirm that the correct Member ID and contribution period appear after processing.

09

Common UAN and PF Errors Freshers Face

Face Auth Failed
Face authentication is not completing. Use good lighting, follow Aadhaar Face RD instructions, remove anything blocking the face and retry. Repeated failures may need UMANG or EPFO support.
Mobile Problem
You are not receiving Aadhaar OTP. The current activation flow depends on access to the Aadhaar-linked mobile. Check which number is actually linked with Aadhaar before repeatedly retrying.
Name Mismatch
Aadhaar and EPFO records do not match. Do not randomly change spellings. First identify which official record is wrong and use the appropriate correction or Joint Declaration process.
Duplicate UAN
You found more than one UAN. Do not keep using both as if they are separate savings accounts. Inform the employer and follow EPFO's process for dealing with duplicate employment records.
Bank Pending
Bank KYC is still pending. Check the account number, IFSC and approval status. Do not submit multiple random accounts just because approval is taking time.
PF Not Visible
PF was deducted but passbook entry is missing. First allow reasonable processing time. Then check the correct UAN, Member ID and wage month before contacting payroll or EPFO.
Wrong DOJ
Date of joining is incorrect. Service-history errors should not be ignored because they can affect later transfer or claim records. Raise the issue through the appropriate employer/EPFO correction route.
Old UAN Lost
You changed jobs and cannot remember your previous UAN. Use official “Know Your UAN” options and old payroll records rather than asking the new company to create another UAN immediately.
10

What If Your Aadhaar Is Not Linked Correctly?

EPFO has simplified Aadhaar seeding and correction in recent updates. EPFO's 2025–26 service update says members whose Aadhaar is not linked with their UAN can use the Joint Declaration functionality for first-time Aadhaar seeding or correction in applicable cases.

The important thing is to fix identity problems early. A small spelling difference that feels harmless during your first job can become irritating when you later try to transfer PF, update service history or submit a claim.

Best practice: Keep your name, date of birth and identity information consistent across Aadhaar, PAN, bank records and employment onboarding wherever legally appropriate.
11

What Should You Do When You Change Your First Job?

Do not start the PF process from zero. Your UAN is meant to continue. Give the existing UAN to the new employer and check that the new Member ID gets linked correctly.

1 Keep the same UAN Do not create another UAN only because the employer changed.
2 Check new Member ID Verify that the new employment appears under the correct UAN.
3 Update KYC if needed Keep bank and identity records current.
4 Check service history Make sure employment dates and records look correct.

EPFO Safety Rules Every Fresher Should Follow

Your UAN Account Is Financial Identity Data

Treat UAN, Aadhaar, PAN, bank details, password and OTP like sensitive information.

Never share OTP HR may guide you, but an unknown caller should never need your Aadhaar or EPFO OTP.
Do not pay “EPFO agents” EPFO warns that its staff do not call members asking for deposits or payments.
Use official portals Use EPFO and UMANG services instead of entering credentials on unofficial PF websites.

UMANG provides a UAN Allotment and Activation service using Aadhaar-based Face Authentication. First confirm that a UAN has not already been allotted to you before creating a new one.

Final UAN Checklist for Your First Job

First confirm whether you already have a UAN. If activation is required, use the current UMANG Aadhaar Face Authentication process instead of following old portal tutorials. After activation, check your Aadhaar, bank and PAN details where applicable and keep your login information secure.

When your first PF contribution is processed, compare your salary slip with the correct EPF Member ID and passbook. If there is a mismatch, fix it early. UAN becomes much more important when you change jobs, transfer PF or need EPFO services later.
